If you're looking to add a large number of Machinery & Equipment to Inventory, take advantage of our bulk import process. Follow this guide for the template and formatting details you'll need.
Bulk imports are not available on Standard subscriptions.
A minimum of 30 Machinery and Equipment items are needed for an import.
If you need assistance with a smaller number of items, please contact us.
The import can take up to two weeks to be completed once spreadsheet has been shared to Safe Ag Systems.

To help us import your Machinery and Equipment Inventory data, we’ll need some details about each item.
The fields are broken down into:
Each item must include the required fields. Optional fields can be used to provide additional information, when needed.
Once complete, please email help@safeagsystems.com
Make sure the email includes:
- your business name,
- the completed spreadsheet, and
- the primary contact person for any questions regarding the template, as well as for follow-up once the import is complete.
Required Fields
Name
The manufacturer's name or the name it's known as within the business.
Example: Red Yamaha Motorbike
Optional Fields
Feel free to skip any of the fields listed below. Choose to fill them out as you like and only for the items you want.
Asset ID
A unique identifier for the item.
Example: YAM001
Type
A way to group machinery and equipment.
Example: Vehicles
This is a pre-set dropdown list in the template and can't be changed.

Maintenance Frequency
How often maintenance is done on the machinery or equipment.
Example: Every six months or 10,000km’s, whichever is first.
Maintenance Units
The method used to track maintenance.

Current Reading
The current maintenance unit reading.

Registration Number
The registration/licence plate number.

Registration Expiry Date
Must be formatted as DD/MM/YYYY

Registration Expiry Reminder
The system can send a reminder 30 days before the expiry date.
To enable an expiry reminder, put Y in the spreadsheet, otherwise, leave it blank.

Location of Manual
The location of the manual – this could be physical or online.
Example: Filing Cabinet in the Maintenance shed
Lockout or Tagout
If the item is blocked from use, this will alert users with a popup message when accessing the item on the App.
To apply a lock/tag, put Y in the spreadsheet, otherwise, leave it blank.
Example: Y
Licence
If a licence or accreditation is needed to use the machinery or equipment, put Y in the spreadsheet.
Otherwise, leave it blank.

Description
The description of the item.
Example: Blue Yamaha AG100 motor bike. Stored in the Shearing Shed. Keys are held with the Shift Supervisor.
