Notifications Overview

Some actions undertaken in Safe Ag Systems generate notifications to users. This article explains who the notifications are sent to and how they are received.

A Notification is text that shows on the Safe Ag Systems App and/or the Desktop from the notification bell icon-bell in the top menu.  Notifications are specific to each user.

The user must have settings on their phone configured to receive push notifications for the Safe Ag Systems App.

iPhone
Go to Settings > scroll to Safe Ag Systems, Notifications > select Notification and toggle On.

Android
Go to Settings > Apps > Safe Ag Systems > Notifications and toggle On.

(The above access to notifications may vary between devices.)


Notifications can be received in three different ways:

  • Notification Bell - The notifications bell icon-bell that appears in the top menu of the App and Desktop.
  • Push - Messages that pop up on your device to notify you of a new notification. They disappear once viewed. 
     
  • Noticeboard - Only notifications for emergency alerts (fire and medical) appear on the Noticeboard. 

 


Notifications are generated by certain actions within Safe Ag Systems. The table below details what actions generate notifications, who receives the notification, and how they are received.

At Work/Not At Work Triggered when a user toggles to At Work or Not at Work

Business Administrators, Supervisors and Workers

Can be managed from the System Configuration screen

Location Requested Triggered for a user who has Location permissions turned Off or location is unavailable User who cannot be located

New Message Triggered when a new message is added

Can be set to notify Contractors from the System Configuration screen

Business - Locations
New Hazard Triggered with a hazard is added Active Business Administrators and Supervisors
People - Manage People
New Security Level Assigned Triggered when a user's access level is changed User
People - Inductions
Induction Assigned Triggered when an induction is assigned to a user Assignee (same as the Inductee)
Inductor to Sign (user) Triggered when an induction is has been completed by a user and is ready to be signed off by the nominated Inductor Inductor
Inductor to Sign (Visitor Induction) Triggered when a visitor has completed an induction and is ready to be signed off by the nominated Inductor Inductor
People - Training Register
Training Register license expiry Triggered 60 days out from expiry as well as the day of expiry Business Administrators
People - Visitor Log
Visitor Sign In/Out Triggered when a visitor signs in or signs out

Active Business Administrators and Supervisors

Can be turned Off from the System Configuration screen

Inventory
Machine registration Triggered 7 days out from expiry as well as the day of expiry Business Administrators
Upcoming Maintenance

For maintenance reminders set by date, triggered either:

  • 30 days prior to scheduled next maintenance date, or
  • if next maintenance date is scheduled sooner than 30 days, the notification triggers immediately when scheduled maintenance is entered

For maintenance reminders set by odometer (hours, kilometres, miles), triggered when:

  • odometer reading is equal to or more than the 'Generate reminder at' field but less than the 'Next maintenance due at' field

Overdue Maintenance

Triggered when maintenance is

  • overdue by date, or
  • for maintenance scheduled by odometer when the 'Reading' exceeds 'Next Maintenance due at'

Machine lock out/tag out Triggered when a machine is locked out by a supervisor or business administrator All active and inactive users
Machine lock out/tag out removed Trigged when a lock out is removed from a machine All active and inactive users
Structure lock out/tag out Triggered when a structure is locked out by a supervisor or business administrator All active and inactive users

Safety Manager - Task Manager
Task Assigned Triggered when a new task is added with an assignee or an existing task has an assignee added Assignee
Task Deleted or Withdrawn Triggered when a task is Deleted or Withdrawn Previous assignees, excluding the person who deleted or withdrew the task
Task Edited Triggered when a task is edited (change of Title, Description, main image, documents, links or uploads on Edit Task screen) Creator and assignees, excluding the person who edited the task
Comment added to a task Trigged when a Comment is added to a task Creator and assignees, excluding the person who commented the task
Comment is modified on a task Trigged when a comment is modified on a task

If the Creator is Archived or Inactive - Business Administrators receive a Notification

Risk Assessment approval required Triggered when a worker or contractor submits a Risk Assessment for approval

Fire or Medical Emergency Triggered when a Fire or Emergency is triggered from the App All active users
Safety Manager - Near Miss and Incident
Near Miss and Incident report created Triggered when a near miss and Incident report is created by a user Active Business Administrators and Supervisors
Documents and Files > Policies, Procedures or Checklists
Policy, Procedure or Checklist due for review Triggered 7 days prior to a document review due date Business Administrators
Policy or Procedure Assigned Triggered when a Policy or Procedure is assigned for acceptance Assignee
Assigned Policy or Procedure Accepted Triggered when an assignee accepts a Policy or Procedure and adds a comment Assignor (or all BA if assignor is archived)
Unassigned Policy or Procedure accepted Triggered when a Policy or Procedure is accepted with a comment added Business Administrators
Management Portal

Management Portal users will receive the same notifications as listed above when logged into a subscription at site level.  ONLY Management Portal Administrators and Portal Users will receive emails for the following for their connected sites:

  • Fire Emergency
  • Medical Emergency
  • New Hazard
  • Near Miss & Incident created
